This Privacy Policy applies to the use of this and other websites owned and operated by Samvadi ("Websites") and communication services provided by Samvadi ("Services") by individuals who visit our Websites ("Visitors"), individuals and companies who register to use our Services ("Customers"), and end-customers of our Customers ("Patrons"). The Privacy Policy herein provides information and policies with respect to each type of user and use described above.

We periodically update this Privacy Policy from time to time. Please email us at Privacy@Samvadi.com if you have any questions or inquiries about this Privacy Policy.
U.S. Visitors, Customers and Patrons Only
Samvadi does not intend on providing the Websites or Services to Visitors, Customers or Patrons residing outside the U.S. Our Customers are responsible for promptly notifying us of a Patron who resides outside the U.S. so that we can address it immediately.
No Minors under 13
Samvadi does not knowingly collect information from, or direct any of our content specifically to, children or minors under the age of 13. If we learn or have reason to suspect that a Visitor, Customer, or Patron of our Websites or Service is under the age of 13, we will promptly delete any personal information related to such minor. Our Customers are responsible for promptly notifying us of a Patron who is under the age of 13 so that we can address it immediately.
Data Security and Protection
Security procedures are in place to protect the confidentiality of your data. We implement industry-standard security measures to protect your personal information:
Encryption in transit using TLS/SSL protocols for all data transmissions
Role-based access controls limiting data access to authorized personnel only
Regular security audits and monitoring to detect and prevent unauthorized access
Secure data storage with encryption at rest for sensitive information
Access logging and monitoring to track who accesses your data and when
Regular security training for all personnel handling personal information
Incident response procedures to quickly address any security concerns
Data Subject Requests/Opt-Outs
If you are a Customer, Prospect, or otherwise interact with one of our Customers and would no longer like to be contacted by one of our Customers that use our Samvadi Service, please contact the Customer that you interact with directly. If you want to access, correct, amend, or delete data controlled by a Samvadi Customer, you should direct your query to the Samvadi Customer (the data controller).
You may request the deletion of your Samvadi account or Samvadi Service by sending a request to Privacy@Samvadi.com.
Data Retention
All data may be retained until you notify us that you want it be deleted by emailing us at Privacy@Samvadi.com. For Google-sourced data, you may also revoke access through your Google Account settings, which will prevent further data collection.
Types of Information
“Personal Information” refers to:
any information that identifies an individual personally, including contact information, such as name, email address, company name, address, phone number, and other information about an individual or business.
information about any transactions, both free and paid, that is entered into the Websites, and information about an individual that is available on the internet, such as from Facebook, LinkedIn, Twitter and Google, or publicly available information that we may acquire from third party service providers.
“Navigational Information”, which refers to information about an individual's computer and an individual's visits to the Websites such as IP address, geographical location, browser type, referral source, length of visit and pages viewed, where such information can directly or indirectly identify an individual.
“Payment Information”, which refers to information we collect and process from a Customer upon registration or subscription to the Service, including credit card numbers, billing information, phone or utility bills, or identification documents, where such information can directly or indirectly identify an individual. Payment Information is considered sensitive information. Except for this, we do not collect sensitive information from you.
What data is collected?
For Visitors:
When a Visitor views content provided by us on our Websites, we automatically collect information about the Visitor's computer hardware and software ("Visitor Data"). This information can include a Visitor's IP address, browser type, domain names, internet service provider (ISP), the files viewed on our site (e.g., HTML pages, graphics, etc.), operating system, clickstream data, access times and referring website addresses. This information is used by Samvadi to provide general statistics regarding use of the Websites. For these purposes, we do link this automatically-collected data to Personal Information such as name, email address, address, and phone number.
We also collect any data voluntarily submitted by a Visitor through the Website. From time to time, we may receive Personal Information about you from third party sources including partners with which we offer co-branded services or engage in joint marketing activities, and publicly available sources such as social media websites.
For Customers:
Samvadi collects the following types of Personal Information from its Customers upon registration of the Services: Customer representative's name, work email address, work mailing address, work phone number, copy of telephone or utility bill, copy of state or federal identification, credit card information, and other personal information Customers provide to us through their use of the Service ("Customer Data"). Customer Data does not include aggregated, non-personally identifying information. In addition, Samvadi may use cookies to improve the Services for Customers. All Customers have a Services Agreement with Samvadi, and that Services Agreement will control in the event of any conflicts with this Privacy Policy.
For Patrons:
With Customer's consent, Samvadi collects the following types of Personal Information from Customer's Patrons through a Patron's use of the Services ("Patron Data"): Patron's name, email address, phone number, call logs, audio recordings and transcriptions, SMS logs and SMS message content, email communications, and any other Personal Information that is transmitted to/from a Customer to/from their Patrons via the Services.
Samvadi does not own or control Patron Data; Samvadi is a processor (or service provider) of Patron Data. Samvadi processes Patron Data under the direction of our Customers, and has no direct control or ownership of such Patron Data. Customers are responsible for complying with any regulations or laws that require providing notices, disclosures, and/or obtaining consents from Patrons prior to transferring Patron Data to Samvadi for processing purposes. Although Samvadi may store and have access to all Patron Data inputted into or through the Services, Samvadi only uses the Patron Data necessary to provide the Services to Customer. Data Minimization We practice data minimization and only collect the minimum amount of personal information necessary to provide our Services effectively. We do not collect excessive or irrelevant data, and we regularly review our data collection practices to ensure compliance with this principle. How
is the data used? Our legal basis for collecting and
using the personal information described below will depend on the
personal information concerned and the specific context in which we
collect it. However, we will normally collect personal information
from you only where we have your consent to do so, where we need the
personal information to perform a contract with you, or where the
processing is in our legitimate interests and not overridden by your
data protection interests or fundamental rights and freedoms. In some
cases, we may also have a legal obligation to collect personal
information from you. If we ask you to provide personal
information to comply with a legal requirement or to perform a
contract with you, we will make this clear at the relevant time and
advise you whether the provision of your personal information is
mandatory or not (as well as of the possible consequences if you do
not provide your personal information). Similarly, if we collect and
use your personal information in reliance on our legitimate interests
(or those of any third party), we will make clear to you at the
relevant time what those legitimate interests are. For
Visitors:
Samvadi may use Visitor Data to improve
your browsing experience by personalizing the Websites and to improve
the Subscription Service; send information or Samvadi content to you
which we think may be of interest to you by post, email, or other
means and send you marketing communications relating to our business;
promote use of our services to you and share promotional and
information content with you in accordance with your communication
preferences; provide other companies with statistical information
about our users -- but this information will not be used to identify
any individual user; send information to you regarding changes to our
Terms of Use, Privacy Policy, or other legal agreements; or meet
legal requirements. We may, from time to time, contact
you on behalf of external business partners about a particular
offering that may be of interest to you. In those cases, we do not
transfer your Personal Information to the third party. For
Customers: Samvadi uses
the Customer’s representative’s name, work email address, work
mailing address, and work phone number for purposes of registering
the Customer with a username to access the Services, and to contact
the Customer for purposes of providing the Services to Customer.
Samvadi uses the Customer’s telephone or utility bill, or
alternatively Customer’s state or federal identification, for
verification and security purposes, as well as to connect certain
phone services that may be required for the Services. Samvadi
collects the Customer’s credit card information in order to process
payments and subscription fees for the Services. Samvadi may use
aggregated, non-personally identifying information for analytics in
order to improve the Services being provided to our Customers.
In addition,
Samvadi may use Customer Data to send information or Samvadi
content to Customer which we think may be of interest to Customer by
post, email, or other means and send Customer marketing
communications relating to our business; promote use of our services
to you and share promotional and information content with you in
accordance with your communication preferences; send information to
you regarding changes to our Terms of Use, Privacy Policy, or other
legal agreements; product upgrades or meet legal requirements. For
Patrons: We
do not directly use Patron Data, but our Customers use Patron Data to
contact Patrons, manage Appointments and other interactions with
Patrons, and market to Patrons.
How
is the data shared? We will never sell Personal
Information to any third party.
For
Visitors:
We
do not sell Visitor Data with third parties.
For
Customers: We
do not sell Customer Data with third parties.
For
Patrons: We do not sell Patron Data with third parties. Third-Party Sharing Statement: We do not share, sell, rent, or trade Personal Information with third parties for their promotional purposes. We will never share Google user data with third parties without explicit consent, except as required by law or as necessary to provide the Services you've requested. How
can you opt-out? For Visitors: You may request the deletion of your
email address or other contact information by sending a request to
Privacy@Samvadi.com. For Customers: You may request the deletion of your
Samvadi account or Samvadi Service per the
terms set forth in the applicable Services Agreement for Samvadi
Services. For Patrons: Patrons who no longer wish to be
contacted by one of our Customers that use our Samvadi Service, must
contact the Customer directly. If a Patron wants to access, correct,
amend, or delete data controlled by a Customer, you should direct
your query directly to that Customer. Data Deletion Process You have the right to request deletion of your personal information at any time. To request deletion: Email us at Privacy@Samvadi.com with your deletion request

Product-Specific Privacy Policy
The Samvadi Service
The Samvadi Services allows Customers (typically small to medium size businesses) to collaborate and communicate with its patrons, as well as to create and share marketing, sales and Customer service content with its patrons. The Customer Data added to the Samvadi Service, either by Customers or Patrons, is stored and managed on our servers or on our service providers' servers (depending on the type of information being stored). Samvadi provides the Samvadi Service to our Customers for their own Appointments, marketing, sales, and Customer service needs.
Third Party Platforms
We use third party platforms, like HubSpot, to build webpages that people can visit to learn more about Samvadi and its products and services. Samvadi does not use Customer Data for its own purposes, except that Samvadi may collect and use aggregated and anonymized Customer Data in order to provide market analytics and help improve the Samvadi Services. Information that we collect and manage using the Samvadi Service for our own marketing belongs to us and is used, disclosed and protected according to the Samvadi Privacy Policy above.
Use of Services by Our Customers
Our Customers use the Samvadi Service to improve their communication with their patrons by automating some activities such as answering calls and sharing relevant information. They also use Samvadi Service to make other communication activities more efficient such as easily creating and sharing marketing messages. Samvadi does not control the content or the types of information that our Customers may choose to collect or manage using the Samvadi Service. That information belongs to the Customers and is used, disclosed and protected by them according to their privacy policies. Samvadi processes our Customers' information as they direct and in accordance with our agreements with our Customers, and we store it on our service providers' servers.
Our agreements with our Customers prohibit us from using that information, except as necessary to provide and improve the Samvadi Service, as permitted by this Privacy Policy for Customers, and as required by law.
We use the information collected through our Samvadi Service by our Customers for the following purposes: to provide the Samvadi Service (which may include the detection, prevention and resolution of security and technical issues); to respond to Customer support requests; and otherwise to fulfill the obligations under the Samvadi Customer Terms of Service.
We have no direct relationship with individuals (i.e. patrons) who provide Personal Information to our Customers. Our Customers control and are responsible for correcting, deleting or updating information they have collected from using the Samvadi Service.
Google Integrations
If you choose to integrate your Google Workspace applications with the Samvadi Service, you grant us permission to access and use your Google user data solely for the purposes described below. We use industry-standard OAuth 2.0 for authentication and only request the minimum necessary permissions (scopes) required to provide our Services.
Available Google Integrations:
1. Google Contacts - With your explicit permission, we will import your contacts (names, email addresses, phone numbers) into your Samvadi account to be used for business communication and email marketing purposes. We only access contact information necessary for the Services.
2. Google Calendar - With your explicit permission, we will access your calendar data to help manage appointments, check availability, schedule meetings, and coordinate scheduling through the Samvadi Service. We only access calendar events and availability information necessary to provide scheduling services.
3. Google My Business - With your explicit permission, we will use Google APIs to create new posts on your behalf on your Business GMB account, helping you maintain an active business presence.
Google User Data Protection:
Limited Use: We only use Google user data for the specific purposes you've authorized
No Unauthorized Sharing: We never share your Google user data with third parties without your explicit consent
Data Minimization: We only access the minimum data necessary to provide the requested services
Secure Storage: All Google user data is encrypted in transit and stored securely.
User Control: You can revoke our access to your Google data at any time through your Google Account settings (https://myaccount.google.com/permissions)
Transparency: We clearly display what data we access before you grant permission
Compliance: We comply with Google API Services User Data Policy and undergo regular security assessments
Consent and Authorization:
By connecting your Google account to Samvadi, you explicitly consent to our access and use of your Google user data as described above. You will be presented with a clear consent screen showing exactly what permissions you're granting before any data is accessed. You maintain full control and can revoke access at any time.
Log Files
When you use the Samvadi Service, we automatically collect information about your computer hardware and software. This information can include your IP address, browser type, domain names, internet service provider (ISP), the files viewed on our site (e.g., HTML pages, graphics, etc.), operating system, clickstream data, access times and referring website addresses. This information is used by Samvadi for the operation of the Samvadi Service and to maintain quality of the Samvadi Service. These logs are regularly reviewed as part of our security monitoring procedures and are retained for compliance and security purposes.
